The vocabulary of AI notetaking.
Short, plain-English definitions of every term you'll see when comparing AI notetakers.
- AI Notetaker
- Software that joins your online meetings, records the audio/video, transcribes the conversation, and produces a structured summary with key points and action items.
- Transcription
- The automatic conversion of spoken audio into written text. Accuracy is typically reported as Word Error Rate (WER) — lower is better.
- Diarisation
- Separating a transcript by speaker ("who said what"). Quality depends on the number of speakers, accents, and audio quality.
- Summary
- A structured digest of a meeting — usually with topics, decisions, and action items. Quality depends on the underlying LLM and the prompt design.
- Botless / no-bot recording
- Recording captured directly from the OS audio (desktop or phone) instead of a visible bot joining the call. Better for confidential meetings.
- Scorecards
- Structured evaluation templates (sales call quality, interview competencies) applied automatically to every meeting.
- Talk-ratio
- The percentage of time each participant spoke. Common metric in sales coaching.
- Voice agent
- An AI participant that can join, talk, and act on your behalf — schedule follow-ups, answer questions, or run a discovery step.
- EU hosting
- Data stored and processed in the European Union. Often required for GDPR-sensitive workflows.
- GDPR
- EU regulation on personal data. For notetakers it implies consent, data residency, retention controls, and the right to deletion.
- SOC 2
- Audit of security controls (access, encryption, monitoring). Common procurement requirement for B2B SaaS.
- SSO
- Single Sign-On — central authentication via Okta, Google Workspace or Microsoft Entra ID. Required by most IT teams.
- RAG
- Retrieval-Augmented Generation. Lets the AI search your past meetings before answering a question, instead of relying only on the current transcript.
- ATS
- Applicant Tracking System (Greenhouse, Lever, Workable). Notetakers used for recruitment push interview notes there.
- CRM sync
- Posting meeting notes, next steps and call recordings into a CRM (Salesforce, HubSpot, Pipedrive) automatically.
