These are comparative ratings of pricing structure and value, not list prices. Vendors change plans frequently - always confirm the current rate on the vendor's own site before buying.
What drives the bill
Seats
The single biggest factor. Most vendors charge per user, so cost scales linearly with team size regardless of how many meetings each person records.
Retention
Longer storage of recordings and transcripts is routinely gated behind higher tiers, and it is the one that catches compliance teams out.
Integrations
CRM, ATS and automation connectors are almost always paid features. If the integration is why you are buying, budget for the business tier.
Compliance
SSO, audit logs, data residency and DPAs generally sit on the enterprise plan, sometimes with a platform fee on top of seats.

How much does an AI notetaker cost?
Most AI notetakers are sold per seat per month, with a free tier, a mid tier for individuals and small teams, and a business tier that unlocks integrations, admin controls and longer retention. Sales-intelligence platforms such as Gong and Chorus.ai sit in a different bracket entirely, sold as annual enterprise contracts. Vendors change list prices often, so we rate pricing structure and value rather than quoting figures that would go stale.
Is a free AI notetaker good enough?
For an individual taking notes on a handful of calls a week, often yes. Free tiers usually cap monthly meetings, storage duration or AI summary count, and almost never include CRM or ATS integrations, SSO or admin controls. The moment more than one person depends on the output, the free tier stops being viable.
What actually drives the price up?
Four things: number of seats, retention length, integrations (CRM and ATS connectors are almost always a paid tier), and compliance features such as SSO, audit logs and data residency. Transcription minutes matter less than people expect.
Can I pay annually to save money?
Nearly every vendor discounts annual billing, typically by around two months' worth of the monthly rate. On enterprise deals the discount is negotiable and usually tied to seat count and contract length.
